Privacy Policy
This policy describes what information Care Rounds — operated by JCSV One LLC, dba Juno Code Studio — collects, how it is used, and the choices you have. The short version: client care data lives on your device by default, we only move it to our servers to provide features you turn on, we do not sell personal data, and there are no ads. Questions? 1. Care data stays on your device by default
The information you record about the clients you serve — medications, dose logs, visits, appointments, health-log entries, visit notes, and the emergency card — is stored in a local database on your phone. If you never sign in or join a team, that data does not leave your device except as described below for AI features you actively use. Both iOS and Android encrypt app files at rest.
2. Account information
When you sign in with Google, we store the identity Google asserts for you — your Google account identifier, email address, and display name — so we can recognize your account across devices and sign-ins. We do not receive or store your Google password.
3. Team sync
If you create or join a team, the care data you choose to share (such as medications, appointments, tasks, and shifts) is synced through and stored on our backend so your team can see and update it. Team invitations are single-use and expire within two days, and joining always requires your explicit in-app confirmation.
4. AI features
Some features send data to our service for processing so they can work: messages you send to the coach chat (along with the care context needed to answer), ambient visit notes, and documents you scan. This processing exists to provide the feature you invoked — not to build advertising profiles.
5. The microphone, and the scribe
Care Rounds uses the microphone in two ways, and they are not the same in where your speech is processed. We spell both out rather than make one claim that only covers the better case.
Dictation. When you tap to talk — a visit note, a quick entry — your speech is turned into text using the phone's own built-in speech-to-text, provided by Apple or Google as part of the operating system. Depending on your device and its settings, that platform service may send the audio to Apple's or Google's servers to transcribe it, under their terms rather than ours. We do not receive that audio.
The scribe. If you start a scribe session, the app listens for the length of the visit and writes what is said into a transcript you review at the end. Transcription runs on the phone itself. The audio is not uploaded to us, and it is not sent to any speech or transcription company. It is not stored as a recording: what is kept is the text, on your device, and only the visit note you approve is saved into the care record.
You must ask first. The scribe will not start until you have read the on-screen disclosure aloud to the person you are with and recorded how they agreed. There is no way to start listening without that. If they say no, or change their mind, stop the session — the transcript goes with it.
The scribe separates voices so your speech can be told apart from everyone else's in the room, and you tell it which voice is yours. It does not identify people by their voices and does not build a voiceprint of anyone.
6. Subprocessors and where AI runs
We use a small number of trusted service providers ("subprocessors") that act only on our instructions and only to provide the service to you. Our infrastructure provider is Cloudflare, Inc., which hosts our backend, database, file storage, and the AI that powers the in-app coach and document scanning (via Cloudflare Workers AI). When you use an AI feature, the relevant parts of the care record — or a document you scan — are processed by an AI model running on Cloudflare's network to generate the reply or extraction; this can include health information about a client. Because the AI runs on the same infrastructure that already stores synced care data, your data is not sent to a separate AI vendor. It is not used to train any model, and prompts and responses are not retained after the request.
7. Feedback reports
If you submit an in-app feedback report, the report contains what you choose to include. The report form has consent toggles for attaching a screenshot and diagnostic logs; nothing is attached without those toggles.
8. What we do not do
- We do not sell your personal data.
- We do not show ads or share your data with advertisers.
- We do not use care data for any purpose other than operating and improving the service.
9. Security
Sync and AI traffic is encrypted in transit, and app files are encrypted at rest by the operating system. Access to backend data is limited to what is needed to operate the service. No system is perfectly secure, so please use a device passcode and keep your sign-in credentials private.
10. Data retention and deletion
Synced data is retained while your account is active so your team keeps working. You can request deletion of your account and its server-side data at any time by emailing jcsvonellc@gmail.com; deleting the app from your device removes the local database.
11. Children's privacy
Care Rounds is intended for adult care workers and is not directed at children under 13. We do not knowingly collect personal information from children under 13.
12. Changes to this policy
We may update this policy as the product evolves. If a change is material, we will give notice in the app or by email before it takes effect.
